Barcode ribbon size is set by three numbers: width, core diameter and length. The ribbon must be wider than your label, the core must match your printer (12.7mm for desktop, 25.4mm for industrial), and the ink coating must face the direction your printer expects. Get any of the three wrong and the ribbon either won’t fit or will damage the printhead.
Most ribbon orders that come back to us have one of two problems. Either someone ordered a ribbon narrower than the label, or someone ordered the wrong core and the roll physically won’t mount. Both are avoidable in about thirty seconds with the chart below.
Width: always wider than the label
This is the rule people ignore and then pay for.
If the ribbon is narrower than the label, the outer edges of the printhead press directly onto the label surface and the adhesive underneath it. Adhesive builds up on those elements, they overheat, and they burn out. You get white lines running down every label, and the only fix is a new printhead.
Allow 2mm to 3mm of ribbon on each side of the label.

Going wider than necessary is not a problem for the printhead, but a much wider ribbon can wrinkle at the unsupported edge and skew the print. One size up is right. Three sizes up is not.

Work out how much media you actually print. A roll of 1,000 labels at 25mm each is 25 metres. A 300m ribbon covers twelve of those rolls, which means you change the ribbon once for every twelve label changes. If you are running high volume, buying the longer ribbon is fewer interruptions rather than a cost saving.
One thing to check: your printer has a maximum ribbon roll diameter. A 600m ribbon may not physically close the lid on a mid-range machine even if the core fits.
Ink side in or ink side out
Ribbons are wound with the ink coating facing either inward (toward the core) or outward. Printers are built for one or the other.
Load the wrong winding and you get a blank label plus ink transferred onto the printhead, which then needs cleaning before it prints properly again.
This varies by manufacturer and sometimes between models from the same brand, so the safest answer is the one nobody likes: check your printer manual. If you don’t have it, send us the model number and we’ll confirm before the order goes out. It takes a minute and saves a wasted delivery.

Then pick the chemistry
Size gets the ribbon into the printer. Chemistry decides whether the print survives.
- Wax — paper labels, short life, indoor. Retail price labels, shipping labels.
- Wax-resin — coated paper and light synthetics. Sharper print, resists scuffing. Good for small 2D codes and jewellery tags.
- Resin — synthetic labels only. Survives chemicals, heat, abrasion and sunlight. Asset tags, MEP markers, cold store, outdoor.
Wax will not bond to a polyester label. It sits on the surface and wipes off with a thumb. If your print is rubbing away, that is almost always what happened.
